There are numerous resources available to assist you with planning your Event.   

The Glenelg Shire Council Event Management Guidelines, will provide you with information on the various aspects of your event, including Planning, Coordination and Risk Management. 

In addition to the Event Management Guidelines, you may also find the resources provided below beneficial. 

Acknowledgement of Country and Welcome to Country

This land is the home of the Gunditjmara, Jardwadjali and Boandik people.

The Glenelg Shire Council respectfully acknowledges the Gunditjmara, Jardwadjali and Boandik people as the Traditional Owners of the land that the Glenelg Shire encompasses and we pay our respects to their Elders past, present and emerging.

We recognise that Aboriginal people have cared for and protected this land we call home since the dreaming. Their connections to the land, animals, seas and waterways was and continues to be a part of their being and we thank them for their significant contributions to life in Glenelg.

Acknowledgement of Country (by a non-aboriginal person)

An acknowledgement can be done by any person, in the absence of a traditional owner.

An Acknowledgement of Country is a way to acknowledge and pay respect to First Nations peoples as the Traditional Owners and ongoing custodians of the land.

Example of an Acknowledgement of Country

“I would like to acknowledge that this meeting is being held on the traditional lands of the (Gunditjmara, Jardwadjali and Boandik) people and pay my respect to Elders both past, present and future.”

Welcome to Country

A Welcome to Country is always delivered by a local Traditional Owner or Elder who holds the authority and knowledge to share a welcome from a particular local region. This can be done through speech, dance, song or ceremony.

Emergency Management

Depending on the scale of your event and the activities at your event, an Emergency Management Plan may be required.

Emergency Management Plans, may take into account unexpected emergencies such as terrorism, fire, extreme weather, event cancellation etc.

Event Planning Templates

First Aid at your Event

Event organisers or local councils planning or approving an event generally need to engage first aid services as part of the event’s provision. As of 1 October 2021, all commercial first aid services in Victoria were required to be licensed (regardless of whether they use volunteers).

As an event organiser, you should ensure that the first aid service contracted to the event is licenced. Having a licenced first aid service is important to ensure the provision of quality and safe patient care.

Please ensure you use the most correct logo and please do not edit the logo. Inclusive Events

To ensure your Event is accessible for everyone, we encourage you to consider and take measures to improve accessibility to your event by becoming a "One and All Inclusive" Event.

Official Proceedings

If you would like to invite a Councillor or Executive Team member from the Glenelg Shire Council to your Event, or Official Proceeding.  Please make this request via email, detailing the date, time, Event name and a brief description of the event.

Signboards and Banners for Events

Promotional Signage for upcoming events can be displayed at various locations throughout the Glenelg Shire, as listed below.

Applications for Event Signboards & Banners must be approved by Council prior to any new Signage Boards being created or any Banners being installed on the Portland Bentinck Street Fence.   Applications should be received no less than two weeks prior to the requested installation date.

Waste Management for Events

Glenelg Shire provides the Waste Wise Events trailer for community events held within the Shire.

The trailer contains 6 waste bins, 6 recycling bins and bin caps which may be borrowed free of charge by event organisers to provide waste and recycling bins at community events.

Event Organisers can book the Waste Wise Trailer free of charge (subject to availability) by completing the online form booking form

Water for Events

Wannon Water provide portable drinking water refill stations, dispensers and recyclable paper cups for eligible community events as a zero cost alternative to purchasing bottled water. It’s part of their Ripple Effect community grants and sponsorship program and builds on their commitment to go beyond water for strong communities.

Wannon Water invite community groups to apply at any time throughout the year for:

  • A loan of our portable drinking water refill stations
  • A loan of our 19-litre drinking water dispensers
  • A supply of recyclable paper cups

Applications must be submitted six weeks prior to your event date and will be reviewed by Wannon Water within a reasonable timeframe depending on the number of applications.
